Primary Planning Wizard for Turnaround
PREPARATION ###Next Year’s Classes Before opening the wizard, have available details of next year’s classes; the pupils who will be in the classes and the names of the teachers taking the classes. If there are any classes, pupils or teachers that full details are not available for at this stage, they can be entered afterwards. ###Year Stages New Primary 1 pupils starting next session should be provisionally enrolled with the year stage Nursery 5 so they will roll forward into Primary 1 following turnaround. Any other pupils starting next session should be provisionally enrolled into the year stage below the year they will be in following turnaround. Please see details of year groups according to date of birth for the term starting August 2019 below. Prior to turnaround, pupils should be in the year stage below this. ###Deferred Entry An indicator can be entered against any nursery pupils being deferred and they will be ignored by Turnaround when creating the next session stages. To enter the indicator, go to Application Records Edit Click New List to bring up a list of all pupils or use the filters to find individual pupils or a group of pupils. Select a pupil who is to be deferred and click on the Personal tab. Put a tick in the Deferred Entry box then click on Save All. Repeat for the remainder of pupils being deferred. A report has been created in all schools to allow a check to ensure the correct pupils have been deferred. This can be found at: Application Reports Custom Reports Open the report named ACC-Deferred Pupils and select View. Any pupils marked as deferred will be listed. If any show that shouldn’t, go back to Records > Edit and correct by removing the tick in the Personal tab for the pupils concerned. ##INTRODUCTION Application Next Session Primary Primary Planning Wizard ###Moving through the Stages The Primary Planning Wizard consists of five steps highlighted in blue at the top of the screen. Hover over each step to view a description. As the steps are completed, a green tick appears next to them. The steps are as follows: Step 1 contains a brief description of the primary planning wizard. Step 2 allows the creation of next year’s class list. It creates a class list for next year based on the current year’s class structure and allows modification to suit the needs of next year. Step 3 allows next year’s classes to be populated with pupils. The user is asked which classes from this year contains the pupils for a class next year. Step 4 allows teachers to be assigned to next year’s classes. Step 5 allows next year’s set up to be reviewed and printed before completing the process. ###Bookmarks The wizard may be left at any point and, when returned to, will open at the step exited. ###Undo Selecting Undo will reverse the last action. ###Restart The Start Again button will undo all actions and return to the first step. ###Help Blue question marks (?) give specific help relative to each area of the wizard. Hovering over the headers of each step will summarise what has been done (if completed). Changes can be made later using other primary planning tools available; it is therefore not necessary to have accurate information available to complete the wizard. The wizard ensures the school is prepared for the turnaround process and should be completed even if all information is not available. ###STEP 1: Introduction This first step contains a brief description of the primary planning wizard. Click Start to begin the wizard. ###STEP 2: Classes When entering this step, a preliminary class list for next year is generated based on the current class set up. Changes can be made as required for next year’s needs. Select an option from the list presented by clicking the appropriate radio button, then press Go. ###Adding a new class To add a new class, a name for the class with associated year stage(s) should be entered. 1. Enter the name of the class to be created 2. Select the year stage(s) the class includes 3. Click Create New Class 4. Click OK to confirm Composite classes have to be created within each stage. For example, a composite class 2/3, made up of Primary 2 and Primary 3 pupils must have a tick entered to the boxes for BOTH stages. As many classes as is required can be created however, if a name is not unique, the classes with the same name will be grouped together as a composite class. ###Changing the Stages a class is available at This allows the user to select an existing class and change the stages it is available at. For example, to change a class stage from P1 to P2: or adding P5 to a P4 class. 1. Select the class 2. Select the year stages the class is to appear in 3. Click Set stages for class ###Remove a Class To remove a class, select the class from the drop down list and click the Remove Selected Class button. If only one stage is to be removed from a composite class, or a change is required, ‘Change the Stages a class is available at’ should be used instead. ###Proceed to the next step Once satisfied with next year’s class structure, move on to the next step by selecting this option. Click Yes to the question Are you sure you want to move onto the next step? ###STEP 3: Pupils This step allows the assignation of pupils into next year’s classes. Only non-composite classes can be assigned pupils at this stage. Composite and nursery classes are skipped here and dealt with following completion of the wizard. Next year’s classes are displayed here and a tick is displayed next to each class that has been dealt with, or has been skipped (composite/nursery classes). Classes that have been set up can be checked by hovering over the blue toolbar for Step 2: Classes. Names and stages assigned will be displayed. ###Populating a Planned Class There are two options, e.g. 1. all the pupils from this year’s 1 will be next year’s 2 (P2) (18 pupils) (0 deferred) or 2. skip entering pupils for 2 (pupils can be entered at a later point) If this is not known, or there will be a mixture of pupils in the class, the skip option should be selected. This can be dealt with following completion of the wizard. ###Proceeding to the next section Once all the classes have been dealt with, click Go to move to the next step. ###STEP 4: Teachers Teachers can only be assigned to a class if a current work record exists at school. If a teacher is starting next session, the teacher should be added after turnaround through Set Up Classes. Failure to assign a teacher to a class will not result in the class failing to be brought forward. If the list of teachers is depleted, any outstanding classes will be skipped for dealing with later. Only one teacher can be assigned to each class in the wizard. For classes with teachers who job share, it is easier to allocate them both together after turnaround. 1. Click on the drop down arrow to display a list of all teachers who have a work record in school. 2. Select a teacher from the drop down list or select Skip assigning a teacher for this class then click on Go. As teachers are assigned to classes, ticks show beside each class. 3. Click Go to continue to the next step. ###STEP 5: Finish A list of next year’s classes is presented showing the stages they cover, the current classes of pupils who will enter next year’s classes and the teachers assigned to the classes. Generate Report Data and Finish the Turnaround Wizard 1.Click on the Generate Report button to produce a report that can be printed or saved. 2.Click on Finish to complete the primary planning process. A congratulatory message will appear for completing the preparation for turnaround. 3.Click Ok 4.Note the green ticks at all of the Steps of the Turnaround Process. The screen displayed lists any outstanding work that needs to be done for turnaround and gives the option to use tools that will deal with them. See Appendix B for information on using the buttons. 5.Whenever returning to the wizard, the user will be presented with this screen. See Appendix B for information on using the buttons. ##RETURNING TO THE PRIMARY PLANNING WIZARD To return to the wizard go to: Application Next Year Primary Primary Planning Wizard Returning to the wizard following completion, the user is presented with the following screen: ###Pupil Allocation By clicking on the Pupil Allocation button, pupils not entered to classes during the completion of the wizard can be entered here. This could be where a class was not moving forward to become the same class in the next year stage i.e. some pupils moving to a different class such as in the case of a new composite class having been created. 1. Select the Planned Year/Stage at top of screen 2. Click on Z to select Primary Curriculum 3. The pupils and their planned classes appear on the screen 4. Highlight the pupils for selected class and click in grey column with class name at top to allocate the pupils to the correct class. The block will turn blue showing the pupils have been allocated to the class. 5. Click SAVE 6. Repeat the procedures for each class in each year group as required. If the pupils are not conveniently grouped together, they can be cherry picked by holding the Ctrl button ###Teacher Allocation By clicking on the Teacher Allocation button, teachers not entered to classes during the completion of the wizard can be entered here. Only one teacher can be assigned to each class in the wizard. For classes with teachers who job share, it is easier to allocate them both together after Turnaround. ###Adding a Teacher to a Class 1. Click on the class button at the top of the screen (e.g. (P1) 1) 2. Click on the classes taught column to the right of the teacher’s name taking the class 3. The class name and stage will now appear in this column. (2 classes will show if a teacher has a composite class) 4. Repeat for all classes ###Removing a Teacher from a Class 1. Click on the class button the teacher should be removed from at the top of the screen (e.g. (P1) 1) 2. Click on the classes taught column to the right of the teacher’s name 3. The class name will now be removed from the teacher ###Refresh Planning Should pupils be enrolled following completion of the wizard, they can be brought into the planning area by clicking Refresh Planning. A message will advise how many pupils have been entered or removed from planning. Returning to Pupil Allocation will allow any new pupils to be entered to classes. ###Reset Wizard There is the option to reset the Wizard. This will remove all planning data and the wizard can be started again from the beginning. Please check with MIS Support before opting for this as there may be other ways to overcome changes required rather than restarting the wizard. ##NEXT SESSION MENU The Primary Turnaround Wizard has replaced the need to use the Next Session > Primary menu items. There are additional menu items detailed below. ###Status Check At any time during the set up, a status report can be produced to indicate how many classes have been set up, the amount of pupils in the classes, and teachers’ names. This is the report that is produce at Step 5 of the wizard process. Application Next Session Primary Status Check 1. The Status Check preview is displayed 2. Click PRINT if required ###Next Session Class Lists Class lists can be prepared in advance of the new session. Teachers may use this to record when new pupils arrive at school and pass to the office for completion of full enrolment. Application Next Session Primary Class Lists 1. Using the filter select the stage for the class list required 2. Leave the drop down list filter as All Classes 3. Enter a tick to the Merge Composite Classes box 4. Enter a tick to the Show Class Numbers box 5. Enter a tick to Include Provisionally Enrolled box (at bottom of page) 6. Click on New List to display the classes for that stage 7. Click on the class list required or Select All 8. Click on Print or Print Preview to generate class lists for next year
